Accounting/Administrative Assistant - Saint Cloud, MN

As an Accounting/Administrative Assistant you will work closely with the Controller and other members of the Accounting and Administrative teams to ensure accurate execution of all job duties. Primary responsibilities include assisting the daily accounting functions, including processing accounts payable and accounts receivable. Additionally, this resource will contribute to general administrative support when needed.

Responsibilities

Accounting Duties

  • General AR/AP administrative duties which includes client interaction
  • Prepares customer invoicing as needed
  • Collaborates with Project Management team to ensure billable time has been reviewed and is available for processing
  • Monitors the collection of accounts receivable
  • Codes accounts payables as needed
  • Verifies employee expense reports and credit card statements
  • Maintains all third-party partner purchasing relationships to ensure client products are maintained
  • Maintains documentation of all processes

Administrative Duties

  • Ensure all phone calls are redirected accordingly and fields/answers all routine and non-routine questions
  • Greets guests in a professional, friendly and hospitable manner
  • Performs opening and closings of reception area and employee breakroom each day (lights, phone system, start coffee, dishwasher, wiping down counters/tables, water plants, etc.)
  • Works in cooperation with backup administrative staff to cover phones
  • Maintains mail station including bringing out mail each day, sort and distribute incoming mail, sign for packages and send external staff and client correspondence as needed
  • Performs requisition of office and lunchroom supplies (minimal travel in St. Cloud as needed to purchase supplies not available online)
  • Vendor management including communications with cleaning company that provides daily building cleaning services
  • Other duties may be assigned to meet business needs

Qualifications

  • Associate degree; or equivalent from a two-year college or technical school
  • Working knowledge of basic PC skills and proficiency with specific programs including; Microsoft Office Suite and database maintenance
  • Professional appearance and presentation as the first impression of our business
  • Excellent phone etiquette, written and verbal communication skills
  • Ability to communicate effectively with all levels of management, customer, and vendors
  • Ability to work independently and multitask as needed
  • Ability to sit/stand for long periods of time and periodically lift to 40 pounds
  • Valid Driver’s License within the state of MN

Preferred Qualifications

  • One to three years of experience receptionist, accounting assistant, and/or banking environment
  • Basic knowledge of general accounting principles

Software Trainer (ERP Solutions)

We are seeking candidates who have experience in training, accounting or ERP software. Duties will include training, configuration and consulting.

Responsibilities

Client Based:

  • Works with clients implementing or upgrading TRAVERSE ERP accounting software to train end users on specific functionality and system workflow
  • Assists with documenting detailed training guidelines and end user documentation
  • Conduct selected (set-up and transactional) standard product training on TRAVERSE ERP, either remotely or on-site, as determined by the client needs
  • Assists with helping clients cleanse and prepare data for conversion
  • Earns the respect of our clients through the demonstration of adaptability, tact, resourcefulness and proactive communications

Team Based:

  • Collaborates with other Implementation team members, Project Managers, Consultants, and Software Developers as needed to meet client expectations
  • Assist Quality Analysts with software testing as needed
  • Assist Support Services with providing client (helpdesk) support as needed

Other:

  • Strong troubleshooting, reasoning and problem solving skills required
  • Complete other duties and responsibilities as assigned

Qualifications

  • Related post-secondary education
  • Strong written and verbal communication skills are required
  • Ability to establish and maintain interpersonal relationships with others is required
  • Aptitude to learn new technologies and sit at a computer for long periods of time typing is required
  • Must be able to travel nationwide up to 50%, sometimes with little notice

Preferred Qualifications

  • Two years of relevant industry experience in accounting, manufacturing, distribution, warehousing, and/or service
  • ERP systems experience
  • Previous consulting experience
